We sell tickets to consumers in the EU. Therefore, the GDPR may apply to certain processing activities.

3) What Data We Process

Depending on usage, we process in particular:

  • Master data: Name (possibly address/country, if required for invoices)
  • Contact data: Email, possibly phone number
  • Booking/contract data: Ticket type, quantity, price, status (paid/cancelled), timestamp, invoice/receipt data
  • Payment/transaction data: Payment status, transaction ID, possibly payment method (no complete card data in our system)
  • Communication data: Support requests via email
  • Technical data: IP address, date/time, accessed pages, user agent, referrer, error and security logs
  • Media data (event): Photo/video recordings (see Section 11)

4) Purposes of Processing

  • Ticket sales, booking management, entry/check-in
  • Payment processing, refunds, chargebacks
  • Event organization & communication (e.g., important event information)
  • IT security, abuse and fraud prevention, error analysis
  • Newsletter (only with consent; unsubscribe at any time)
  • Public relations through photo/video recordings (see Section 11)

5) Legal Bases (GDPR, where applicable)

  • Art. 6(1)(b) GDPR (contract): Ticket purchase, booking, check-in, support
  • Art. 6(1)(c) GDPR (legal obligation): Accounting/taxes/retention
  • Art. 6(1)(f) GDPR (legitimate interest): IT security, abuse prevention, website operation, event documentation (images with "crowd" character)
  • Art. 6(1)(a) GDPR (consent): Newsletter; portrait/close-up photos and other cases where we explicitly request consent

6) Hosting (ALL-INKL.COM) and Server Logs

Our website and booking system are hosted at ALL-INKL.COM – Neue Medien Münnich (Germany). This generates server log data (e.g., IP address, timestamp, request info) to deliver and protect the website.

Server location: Germany (Dresden data centers, according to provider information).

7) Payment Processing (Payrexx)

For card payments and other payment methods, we use Payrexx (Payrexx AG, Thun, Switzerland). Payrexx processes personal data for payment processing (e.g., name, email, transaction data, payment status). Card data is processed directly by Payrexx; we do not store complete card data.

8) Newsletter

If you subscribe to our newsletter, we process your email address and possibly your name to send you information about the event. Legal basis: Consent. Unsubscribe: At any time via the unsubscribe link or by email to info@queerswingzurich.com.

9) Cookies

We use technically necessary cookies (e.g., session/login/checkout). We currently do not use analytics/tracking. Should we use optional cookies/tracking in the future, we will make this transparent in advance and – where required – obtain consent.

10) Retention Periods

  • Booking/invoice documents: Generally 10 years (statutory retention)
  • Newsletter data: Until consent is withdrawn
  • Server logs: 7 days (full IP addresses deleted after this period), except in case of security incidents
  • Photo/video: As long as necessary for the stated purposes or until we must delete due to objection/withdrawal (see Section 11)

11) Photo and Video Recordings at the Event

Photo and possibly video recordings are taken at our events.

Purposes: Documentation, public relations (website, social media, announcements of future events) Legal bases:

  • Overview/crowd shots: Legitimate interest (if balancing of interests is positive)
  • Portraits / close-ups / clearly highlighted individuals: Consent (we actively ask or you clearly signal this)

Information on site: We inform via notices at the entrance and at suitable locations about recordings. Objection / opt-out:

  • Pick up a wristband at registration to signal that you do not wish to be photographed.
  • Or contact us subsequently via email to info@queerswingzurich.com with as detailed a description as possible (time/place/clothing/link).We will then review immediately and remove content where legally required and technically possible.

12) Recipients / Disclosure

We only share data where necessary:

  • Hosting (ALL-INKL.COM)
  • Payment (Payrexx)
  • Newsletter delivery (MailerLite)
  • Authorities, when we are legally obligated

We do not sell personal data.

13) Data Transfers to Third Countries

Hosting is in Germany. Payment processing (Payrexx) is in Switzerland.

With MailerLite, there may be – depending on sub-processors (e.g., cloud infrastructure) – transfers to third countries (e.g., USA). MailerLite uses appropriate safeguards (e.g., EU standard contractual clauses) and provides information on this in its privacy policy.

14) Your Rights

Where applicable, you have the right to access, rectification, deletion, restriction, data portability, and objection to certain processing activities, among others. Consents can be withdrawn at any time with effect for the future.

15) Supervisory Authorities / Right to Complain

  • Switzerland: FDPIC (Federal Data Protection and Information Commissioner)
  • EU: Competent data protection authority of your place of residence/work or of the alleged infringement

16) Data Security

We implement appropriate technical and organizational measures (TLS, access restrictions, backups, role-based permissions) to protect data.

17) Changes

We may update this privacy policy if our data processing or the legal situation changes. The currently published version applies.
